Getting records into GALogbook

Paper to digital

You do not have to use the GALogbook scanner app to digitize existing logbooks. Scan the records any way you prefer — document scanner, phone scanning app, scanning service, or another method — and upload the finished files to GALogbook.

Logbook upload formats
  • Single upload: PDF, JPG, JPEG, or PNG.
  • Maximum single-file size: 35 MB.
  • Bulk import: PDF only.
  • Bulk PDF maximum: 80 MB or 100 pages.
  • For bulk import, each PDF page should contain one complete logbook entry.
  • Multi-page entries should be uploaded separately so all pages remain together.
Uploads first go to the pending scanned-record workflow. Nothing becomes a finalized digital logbook entry until the converted information has been reviewed and saved.

Phone scanning and direct upload

Scanner App

The GALogbook Scanner App lets you photograph paper logbook pages with your phone and upload them directly into GALogbook.

In the Scanner App, select the aircraft and the correct logbook or component before scanning so each page is sent to the correct place.

Detailed Scanner App instructions and screenshots can be added here as the app guide is built out.

Digital aircraft history

Logbooks

GALogbook keeps Airframe, Engine, and Propeller records organized by the component they belong to while keeping the original source scan connected to the saved digital record.

Scan and convert logbook entries

Scan paper logbooks with the GALogbook Scanner App, then convert the uploaded page into a digital logbook entry. Compare the converted information with the original scan, correct anything that needs attention, and save the approved entry.

Read the digital logbook

Open the Airframe, Engine, and Propeller logbooks and review the aircraft's organized logbook history.

Find previous work

Use the digital logbooks to find previous repairs, inspections, component work, alterations, and other work recorded for the aircraft.

Print or save the digital logbook

Open the printable version of the aircraft's approved digital logbook entries when you need a paper copy or want to save the logbook as a PDF.

Less repetitive record work

Record a Logbook Entry

GALogbook also helps you create new logbook entries going forward. Use the aircraft information already stored in the system and AI-assisted tools to reduce repetitive entry work.

Aircraft Status & Times

Use Aircraft Status to keep the aircraft and component times together with inspection and maintenance tracking.

What is due next

Maintenance & Required Inspections

Keep last-completed information, due dates, due hours, recurring intervals, and notes connected to the aircraft record.

The goal is to keep due information visible without making the owner or A&P reconstruct the same history every time the aircraft is reviewed.

Per-engine history

Oil Records & Oil Analysis

Keep oil service records and laboratory oil-analysis history with the correct engine.

Research and supporting proof

AD Search & Compliance

Use the aircraft and component information already stored in GALogbook to reduce repetitive AD research and keep the resulting work connected to the aircraft.

Major repair / alteration records

337 Forms

Upload 337 records, use AI-assisted grouping and extraction, review the proposed records, and keep the original source pages with the aircraft.

Service Bulletins

Keep Service Bulletins with the aircraft and use AI assistance to extract identifying information, applicability details, and notes for review.

Parts and supporting paperwork

Receipts & Supporting Records

Keep receipts, packing slips, certificates, release paperwork, vendor documents, and other supporting records tied to the aircraft.

Aircraft supporting records

Weight & Balance

Keep Weight & Balance records with the aircraft instead of separating them from the rest of the aircraft history.

Work from the same aircraft history

Owner & A&P Access

The owner can give an A&P access to the aircraft record so both are working from the same organized history instead of sending scans, PDFs, and pieces of the record back and forth.

Common questions

Troubleshooting

Do I have to use the GALogbook Scanner App?

No. Scan your logbooks however you want and upload the finished PDF, JPG, JPEG, or PNG files. The Scanner App is simply an additional direct-capture option.

Where does an uploaded logbook scan go?

It goes to the pending scanned-record workflow first. Review and approve the converted information before it becomes a finalized logbook entry.

Can I upload an entire scanned logbook as one PDF?

Bulk PDF import supports up to 100 pages, but each PDF page should contain one complete logbook entry. Multi-page entries should be handled separately so the pages remain together.

Why keep the original scan?

The converted digital information is easier to search and use, while the original source remains available whenever something needs to be verified.

AI did not read something correctly. What should I do?

Compare the result with the source, correct the field during review, and save the corrected record. A clearer scan may also improve difficult handwriting or faded records.

I have more than one aircraft.

Records remain tied to the aircraft they belong to. Choose the correct aircraft before uploading or working with an aircraft-specific feature.
